Commonwealth Speakers: Frequently Asked Questions

Commonwealth Speaker Jack Brubaker explores the military history of Pennsylvania's largest river, the Susquehanna.
Who may apply for Commonwealth Speakers?
Any non-profit organization that is planning a public program. Both cultural and community organizations find that speakers help maintain and expand public participation in their missions.

How many speakers may I apply for each year?
One. More if you support the PHC's statewide program goals or overall mission. See "Applying for More Than One Speaker."

Is there a cost?
Typically, the PHC offers speakers programs free-of-charge to non-profit organizations. In some cases where the speaker may require an overnight accommodation, applicants are responsible for the hotel fee. The speaker's honorarium and other travel expenses are paid by the PHC.

How do I apply for a Commonwealth Speaker?
Print the online application form [PDF, 102K] and submit it to the PHC. Because Commonwealth Speakers must juggle speaking engagements with other responsibilities, applicants should indicate two possible dates for the speaker. Also, in case the preferred speaker is not available, an alternate speaker should also be listed.

What is "cost-share"?
The PHC requires applicants to estimate the value of the time, services, and materials expended in order to host a presentation. This calculation is called cost-share and must be listed on the application form.

When should I submit my application to the PHC?
All applications must be received by the PHC at least eight weeks in advance of the desired program date. Typically, it takes about two to three weeks to receive confirmation.

How much time should I allow for the presentation?
Applicants should allow 45 minutes to one hour for each presentation, and should allow additional time (c. 30 minutes) for a question-and-answer period and open discussion.

What should be my estimated attendance for the program?
The PHC expects applicants to recruit an audience of no fewer than 25 people. Applicants inexperienced in hosting lectures for adult audiences or who are located in sparsely populated areas might consider co-sponsoring the Commonwealth Speakers program with another community organization in order to attract greater local participation. If in doubt of participation, the PHC recommends that your organization pre-register attendees. This allows applicants to cancel or reschedule the program if needed. Applicants new to the PHC are welcome to contact Mary Bear Shannon, Commonwealth Speakers Coordinator, for counseling on selecting speakers.

May we videotape the program?
Organizations planning to videotape a speaker's presentation must first receive permission from the PHC at least two weeks before the program takes place.

HELPFUL HINT
If you are planning to list a Commonwealth Speaker presentation in your organization's newsletter or calendar, please submit your application to the PHC at least 6 weeks before that publication's printing deadline.
